Personal data collected and stored
We store the following personal data about our members and scholarship applicants:
Name, postal address, phone number, e-mail address and sponsorship amount. In addition, we ask for birth date, educational background and financial situation from applicants to scholarships. In some cases, when awarded a scholarship we also ask for bank account information in order to transfer the scholarship. When you become a member, renew your membership or apply for a scholarship, you consent to the Norway-America Association collecting and storing your personal data.
Purpose of handling personal data
We handle the data to fulfill our obligations in agreement with you.
We also use the information to provide you with information via e-mail, telephone, and mail, and to transfer awarded scholarships.
The basis of processing personal data
Information about name, address, telephone, e-mail address is used to fulfill the membership agreement. The basis for this processing is Article 6 (b) of the Privacy Regulation (GDPR).
Where you have given consent, the data will also be used to provide you with information, offers and services in connection with your membership by e-mail and phone. The basis for this processing is the privacy regulation (GDPR) Article 6 (a).
You can at any time decline receiving such information from us by contacting us at firstname.lastname@example.org.
Where you have given consent, photographs and film material may also be used for marketing purposes for the Norway-America Association.
Collection of personal data
We store the personal data you have provided on our website in connection with your membership, or the information you have given in connection with your scholarship application.
We use an SSL certificate on our website, which, through encryption, ensures that the data is only available to the organization.
Disclosure of information to third parties
If you apply for a scholarship, we will share your application and other documentation you provide to our partners in order for them to evaluate your application and award scholarships.
These partners are; the American Scandinavian Foundation, Thanks to Scandinavia Foundation, the scholarship committee, academic experts, the Stuart Family Foundation, George Washington University, the U.S. Embassy in Oslo, or undergraduate partner schools.
Which partners we will share your information with depends on the scholarship you apply for.
Other than this, we will not share, sell, transfer or otherwise disclose personal data and information to others unless we are legally required to do so.
Deletion of personal data
Names, e-mail, and mailing address of members and scholarship recipients that are awarded a scholarship will not be deleted for record keeping purposes. If you want us to delete your information, please contact us at email@example.com.
All physical documents we have received from scholarship applicants will be shredded immediately after they have been saved electronically. All applications and information received in relation to applications will be deleted a year after the application deadline.
Rights for the registrar
We handle your personal data in accordance with the Personal Data Act and applicable regulations. You may require access to and relocation of your personal data, as well as require correction or deletion of the data.
You may appeal to the Norwegian Data Protection Authority (DPA) for handling of data that violates the rules.
We secure your personal information by both physical and virtual access control and access control, as well as by encrypting sensitive parts of the data provided.
